Understand Upload, Synced, Metadata-Only, and Failed States
What each share status means.
Use this when
You see a status chip on a recording card in the Shared screen and want to know what it means or what to do next.
Status meanings
Uploading
The recording files are currently being transferred to the shared workspace. The upload is running in the background — you can keep using the app. The chip updates to Synced when the transfer finishes. Teammates can see the recording card while it uploads but cannot download it yet.
Synced
The full recording is in the shared workspace. Any teammate on the same plan and organisation can click Download to pull it onto their machine and open it in the viewer.
Metadata only
The recording was added to the shared list but the file upload never started or did not complete. Teammates can see the card but there is no file to download. This state appears on recordings shared with an older version of the app, or when the upload step was skipped. The owner needs to remove and re-share the recording to trigger a new upload.
Failed
The upload started but encountered an error before it finished. The recording cannot be downloaded. The tooltip on the chip shows the error detail when available. The owner should remove the recording from the Shared screen and share it again from their Library to retry.
What to do for each status
| Status | What to do |

| Uploading | Wait. No action needed. Check back after a few minutes. |
| Synced | Click Download to save and open the recording. |
| Metadata only | Ask the recording owner to remove it from Shared and share it again from their Library. |
| Failed | Ask the recording owner to remove it from Shared (using the delete icon on the card) and share it again. |
